JOB RESPONSIBILITIES

Do you want to be a key person in an organization where structure, legal security, and quality in information management are in focus? With us, you will have a central and varied role where you drive and develop the work with record keeping, archives, and information management for the entire administration. You will be an important resource for both management and operations. Here you will combine strategic development work with operational responsibility and contribute to creating transparency, security, and high quality at every step of the document management process.

Your tasks include, among others:

  • Be responsible for the administration's information and case management, including digital and physical mail handling, registration and record keeping, as well as support to the management and operations.
  • Lead and develop the work with archives and document control, including central archives, grading archiving, and the development/updating of governing documents.
  • Conduct confidentiality assessments and manage the release of public documents, as well as coordinate register extracts.
  • Drive development and improvement work within registration, record keeping, archiving, and information management, as well as participate in the implementation of digital systems.
  • Coordinate and secure internal processes, such as feedback and complaint handling, record keeping routines, and internal competence development.
  • Be the administration's superuser in the city's digital record system and ensure a functioning information flow between the administration and relevant networks.

QUALIFICATIONS

We are looking for someone who is structured and meticulous, and who works based on clear processes where planning, order, and follow-up are a natural part of your work approach. You are confident and stable, stand by your assessments, and handle complex situations with calm and professionalism. Our organization consists of three departments, but we are a support organization. Therefore, we expect you to see it as a given to take on tasks based on the needs that arise.

You find it easy to collaborate, build good relationships, and strive to find solutions that work for all parties. With a solution-oriented approach, you tackle challenges constructively and quickly find ways forward. Your ability to see the whole picture, communicate clearly, and create structure contributes to strengthening our common working methods and our administrative quality.

Requirements for the position:

  • Education focused on public administration, archive and information management, or other education relevant to the position
  • Experience in qualified administrative work within public operations
  • Good knowledge of legislation related to public administration, including the Administrative Act, Local Government Act, Archive Act, Public Access and Secrecy Act, and data protection legislation (GDPR)
  • Good knowledge of Swedish, both spoken and written
  • Good computer skills and experience working with various IT systems

Meritorious:

  • Experience with the information system Evolution
  • Previous experience with similar tasks, especially experience from a similar role within the education sector
